HR Assistant
Description
Maintain and update employee personal files and HR records.
Prepare HR-related documents, letters, forms, and reports.
Ensure employee information is accurate, complete, and properly filed.
Handle HR documents with confidentiality and professionalism.
Assist the HR Manager with daily HR administrative tasks.
Monitor and maintain daily employee attendance records.
Collect and verify attendance data from attendance machines/software.
Maintain employee leave records and update leave balances.
Prepare monthly attendance and leave reports.
Follow up on attendance discrepancies, late arrivals, absences, and missing records.
Assist in preparing and posting job vacancies.
Screen CVs and arrange interviews with shortlisted candidates.
Contact candidates regarding interview schedules and recruitment processes.
Prepare onboarding documents for new employees.
Assist new employees with company rules, policies, procedures, and orientation.
Provide accurate attendance, overtime, leave, and employee information to the payroll team.
Assist employees with general HR-related questions and requests.
Communicate HR policies, procedures, announcements, and notices to employees.
Support employee engagement activities and company events.
Perform other HR-related duties assigned by the HR Manager.

Requirements
Bachelor’s degree or diploma in Human Resources Management, Business Administration, Management, or a related field.
Previous experience in HR administration is preferred.
Fresh graduates with a strong interest in HR may also be considered.
Good knowledge of Microsoft Office, especially Excel and Word.
Experience with attendance machines/software such as ZKTeco is an advantage.
Good communication and interpersonal skills.
Strong organizational and time-management skills.
Ability to maintain confidentiality and handle sensitive information.
Ability to work independently and as part of a team.
